Getting Started
How does BookWith work?+

BookWith gives you a dedicated receptionist that answers calls on your behalf. You set it up by typing one natural message about your business — your name, services, hours and location. Within 2 minutes your receptionist is live and answering calls in your business name. It books appointments, sends SMS confirmations and manages your calendar automatically.

How long does setup take?+

Under 2 minutes. You type one message about your business, our system reads it and configures everything automatically, and you activate call forwarding with one 30-second step on your phone. That's it — you're live.

Do I need any technical knowledge?+

None at all. You just type about your business in plain English — exactly like sending a message to a friend. Our system handles all the configuration automatically. No forms, no dropdowns, no technical setup.

What countries does BookWith work in?+

BookWith works in the United States, United Kingdom, Australia, Canada, India, UAE and most other countries. The call forwarding feature works on any mobile or landline phone in any country. If you're unsure whether BookWith works in your country, contact us and we'll confirm.

What languages does my receptionist speak?+

Your receptionist speaks the language you specify during setup. We support English, French, Spanish, Hindi, Arabic, German, Portuguese and many others. If a client calls speaking a different language than expected, your receptionist adapts and responds appropriately.

Your Phone Number
Do I need to change my phone number?+

No. You keep your existing number. BookWith uses standard call forwarding — a built-in feature on every phone — to send calls to your receptionist when you're busy. Your number remains completely yours. You can disable forwarding instantly whenever you want by dialling a simple code.

What is the dedicated number option?+

Instead of using your existing number with call forwarding, you can get a brand new local phone number assigned specifically to your business. Every call to this number goes directly to your receptionist — you're never interrupted. This is ideal for salons, clinics and businesses that want full automation. You'd put this number on your Google listing, Instagram and everywhere clients contact you.

How do I set up call forwarding?+

After you complete setup, we give you a simple code to dial on your phone — something like *21*NUMBER#. You dial it, press call, and call forwarding is active. This is a standard feature on every Android, iPhone and all UK, US and Australian mobile networks. It takes about 30 seconds.

Can I disable the receptionist when I want to take calls myself?+

Yes, instantly. Dial ##21# on your phone and call forwarding is disabled. Your phone behaves exactly as normal. You can toggle this on and off as many times as you like, or simply set it to only forward when you're busy and your phone rings unanswered.

How Calls Work
Will my clients know they're talking to a receptionist service?+

No. Your receptionist answers in your business name, knows your services and prices, and speaks naturally and professionally. Clients experience it as your personal assistant. The receptionist will not volunteer that it is automated and will not disclose technical details about how it works.

What happens if the receptionist can't answer a question?+

If a caller asks something your receptionist doesn't know — like a very specific pricing query or a detailed question about your facilities — it will professionally tell the caller that you will follow up with them personally, capture their name and number, and notify you immediately.

How do appointment reminders work?+

Every booking made by your receptionist automatically triggers two reminder SMS messages — one sent 24 hours before the appointment and another sent 2 hours before. Clients can reply CANCEL to any reminder. If they cancel, you're notified immediately and the next person on your waitlist (if any) is offered the slot automatically.

Marketplace
What is the BookWith marketplace?+

The marketplace is a searchable directory of all BookWith providers. Customers search naturally — for example "bridal makeup artist London Saturday" — and get matched to the right professional by location, availability and rating. Your profile is created automatically from your setup information. It's included free with every subscription.

Do customers pay through BookWith?+

No. BookWith is a free booking service. Customers make bookings through BookWith but pay their service provider directly at the appointment. BookWith does not process or hold any customer payments. We are a technology platform that connects providers with clients — not a payment intermediary.

How do reviews work?+

Two hours after every completed appointment, BookWith automatically sends an SMS to the customer asking them to leave a review. Reviews are published on your marketplace profile and counted toward your star rating. Higher ratings mean higher placement in search results. All of this happens with zero effort from you.

Billing & Cancellation
How do I cancel my subscription?+

You can cancel anytime from your dashboard settings, or by logging into your Gumroad account. When you cancel, your receptionist continues working until the end of your current billing period. No partial refunds are issued but you keep full access until your paid period ends.

Is my data secure?+

Yes. All data is encrypted in transit and at rest. We use industry-standard security practices across all our infrastructure. Call transcripts and booking data are stored securely and only accessible by you through your dashboard. We never sell your data. Full details are in our Privacy Policy.

Can I have multiple staff members or locations?+

The current subscription covers one business account. Your receptionist can be configured to handle bookings across multiple staff members within the same business. If you need multiple separate accounts, please contact us to discuss team pricing options.
